1. Who we are

Flawless is a trading name of JE Digital Services Ltd, a company registered in England & Wales under company number 17050777, registered office at 99 Herbert Thomas Way, Birchgrove, Swansea, SA7 0HH. We are the data controller for the personal data described below. Contact us about anything in this policy at hello@flawlesshub.co.uk.

2. What we collect

When you get a quote or make a booking: your name, email address, phone number, postcode, and vehicle details (year, make, model, registration if you use lookup). When you pay: your card is processed directly by Stripe, our payment processor — we never see or store your full card number. When you apply to become an installer: your business details, certifications, and any documents you upload as part of that application.

Matching you with a suitable installer and creating your booking
Taking payment for your deposit and balance
Sending you booking confirmations and updates, by email and, where you've given a mobile number, WhatsApp
Responding to enquiries and complaints
Meeting our own accounting and legal obligations

Our lawful basis for most of this is performing the contract you enter into when you book. Where we send service updates by WhatsApp, this is treated as necessary to deliver the booking you've requested, not marketing.

4. Who we share it with

We share what's needed to carry out your job — your name, phone number, email, vehicle details, postcode and appointment window — with the installer you choose. We also use these processors acting on our instructions, each only for the specific purpose stated:

Stripe — payment processing
Resend — sending transactional emails (booking confirmations, receipts)
Our WhatsApp messaging provider — booking status updates, where you've given a mobile number
Xero (via our accountant) — invoicing records; this never includes your card details

We do not sell your personal data to anyone.

Installer calendars. If you are an installer and choose to connect your Google Calendar, we ask Google only for your free and busy times (the “calendar.freebusy” permission). We do not see or store event titles, attendees or other details. We use busy and free times only to work out which days you are available for Flawless jobs, and we store an encrypted connection token that you can remove at any time by disconnecting in your partner dashboard (or by revoking access in your Google account). Flawless’s use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

Business contacts. We may email UK businesses that offer paint protection film or related services, using business contact details from public trade directories, to tell them about joining Flawless. Every email says where we got your details and has a one-click unsubscribe. If you unsubscribe we keep only your email address on a suppression list so we do not contact you again. Contact hello@flawlesshub.co.uk to ask where we got your details or to be removed.

5. Where your data is processed

Some of the processors above may store or process data outside the UK. Where that happens, we rely on their own UK/EU-adequacy safeguards (such as Standard Contractual Clauses) — see each provider's own privacy policy for detail: Stripe, Resend.

6. How long we keep it

We keep booking records for as long as needed to meet our accounting and tax obligations — normally six years from the end of the relevant tax year — and other enquiry data for no longer than needed to deal with it.

7. Your rights

Under UK GDPR, you can ask us to: tell you what data we hold about you, correct it if it's wrong, delete it, restrict how we use it, or give you a copy in a portable format. You can also object to certain uses. To exercise any of these, email hello@flawlesshub.co.uk. If you're unhappy with how we've handled your data, you can complain to the Information Commissioner's Office (ico.org.uk).

8. Cookies

Flawlesshub.co.uk does not currently use any analytics, advertising or tracking cookies, so there is no cookie consent banner on the site. If that changes — for example, if we add analytics in future — this section and a consent banner will be updated before any such cookie is set.
